It Implementation of a Cloud-Based Work-Environment (Workstation) For a Growing Dental Support Organization
A cloud-based work environment is a significant simplification of work any dentist and support staff would ask for in an organization. Elegantly Restored is a dental organization with several offices in Georgia and Florida. The organization is need for cloud-based system implementation. The purpose of the implementation is to enable the business teams to communicate effectively and efficiently, review and process claims, schedule appointments seamlessly and to empower the clinical team to utilize integrated teledentistry services for their patients without working in the physical office. Implementing a cloud-based system will enable the organization to move all their workloads to a public cloud, making it easy to manage the work from anywhere on the cloud. The organization will employ the many benefits of cloud systems to ensure that they manage their user data effectively. The organization will be able to make use of group policy and management groups to ensure every department has its subscription on the cloud. The subscription ensures that all organization departments can interact and access data independently without having to visit the worksite. The implementation of network security groups will help the organization manage the security of several databases and virtual networks by connecting the two sites of the organization.
Implementation of systems such as the domain controllers and the windows server forest will help the organization to organize and manage the data from the two sites without having to merge them. The availability of fixed and modern SLA lifecycles will help the organization set up their workloads effectively with the assurance of uptime and a good SLA or a refund in case of a lack of compliance from the service provider. The organization will have the advantage of timely access to patient requests and schedule appointments within no time. While working on the cloud, the time to access the data is so fast compared to having to access data on their network. Additionally, the cost of maintenance of their own data centers will not be required anymore. The organization will, therefore, be able to save on the costs spent on maintenance, server security, purchase of physical servers, and any other costs accrued by having their servers.
However, the organization will need to consider many factors before migrating their data to cloud storage. Some of the considerations that need to be taken care of include security: The organization will need to choose wisely, which cloud providers use to protect their patient's data from unauthorized access. The organization will need to consider deployment of intrusion detection systems and firewalls, which will all be provisioned in either private and public clouds. Cost: In order to choose which cloud to use for their data, the organization has to consider what their need s are and what the cost of their required services are. In the case of Elegantly Restored, the organization will have to weigh the private cloud, public cloud, and hybrid cloud with the needs of the organization in mind. The cost of migrating to the cloud, launching the new system, training the stakeholders, and establishing the new system will be significant for the organization to stay ahead in terms of financial security.
The launch and training of stakeholders is another necessary consideration before implementing any solution by the organization. The organization must factor in all the stakeholders, their adaption to the new system, and how long it will take to train them. For instance, in order for the Schedule Appointments system to work efficiently, the dentists have to be trained on how to use the system while taking care of the patient’s data as well as their system privacy on the cloud system. The timelines have to be planned well in order to launch the system in time and appropriately. Therefore, Elegantly Restored must be fully prepared to adopt the new cloud-based system, which will change their performance and patient satisfaction to a great deal.
Needs Analysis
Elegantly Restored is a dental organization that already operates in two cities, Georgia and Florida. Within these two cities, the organization has several offices. These offices attend to their dental patients. The clinical team has been able to schedule appointments and attend to their patients effectively until the COVID-19 worldwide pandemic hit. It has been hard for the clinical team to continue serving their patients diligently and effectively. Most patients also have worries and would avoid visiting the premises for their dental clinics. Therefore, it is tough for the clinical team to continue delivering continued support and treatment to their dental patients. It is, therefore, inevitable for the Elegantly Restored to find a solution that best serves their clients adequately and helps manage their safety as well.
A cloud-based environment where the clinical team can communicate effectively with their patients will prevent a lot of unwanted risks that would occur if the hospital continued operating regularly. For instance, the patients would crowd the hospital regularly, seeking medical practitioners' expertise and assistance. Some patients would come in as new patients seeking dental checkups. If the organization continues operating regularly, then the crowding at the hospital premises will continue accruing more danger and risk to the patients as well as the practitioners. On the other hand, some other patients would be attending to their appointments or seeking new appointments. This approach is structured such that, whenever a patient visits the hospital for the first time, their data s captured and stored. The patients are given an appointment after that to visit the dentist on a different day. After their first appointment, the dentist gives the patient a second appointment to visit the clinic, depending on the dentist's schedule. This situation then means that the patient will have to come to the clinic premises in order to get another appointment and be attended to when that is necessary. This method would cause much crowding at the hospital premises since the returning patients and the new patients would always meet at the premises. During this period, when the whole world is experiencing a pandemic, the hospital must find a methodology for preventing the crowding and seeking to separate the returning patients from the new patients.
With the availability of a cloud-based environment, the clinic team will be able to separate these appointments seamlessly. An implementation of a system where the new patients can express their desire to visit the clinic and their problem as well as their personal dental history will help the dentists know how to schedule the patients, ensuring that they do not collide with the returning patients. The clinic team will be in a position to schedule appointments, communicate with their patients and amongst themselves, deliver a practical solution, and be able to exchange ideas through evidence-based practice to ensure that the patients receive the best treatments. The dentists will also be able to view the current tele-industry practices that they can use at their appointments with patients for the betterment of the services Elegantly Restored offers.
Problem and Causes
The problem experienced by the Elegantly Restored organization is a fate shared by many other institutions during this period of COVID-19 pandemic. Just like many other organizations, Elegantly Restored is unable to attend to their clients effectively, seamlessly, and safely. The goal of any health organization is to ensure that their patients are safe and that they are attended to timely and expertly. The pandemic has, therefore, posed a big challenge for these organizations due to the harsh conditions it has brought to the world. Elegantly Restored is no longer able to attend to all their patients immediately and physically in their Florida and Georgia offices. A new method of delivering their services has to be devised so that their patients receive the best services that the organization can offer. Most dental patients are afraid of visiting the hospitals since they are worried that they may contract the Corona Virus. They are therefore determined to skip their scheduled appointments and wait for the pandemic to subside, but their dental...
