Introduction

Nowadays, Organisations are faced with the challenge of protecting their customer's information. Terrorist attacks, floods, fires and other disasters are among the problems that firms face regarding data protection (Pereira & Santos, 2014). These tragedies can damage information processing facilities and crucial documents of the clients. Loss of organisation's information and theft can also result in negative impacts on customer confidence, profitability of the company and business reputation (So, 2011). For example, a security breach that leads to the leakage of user's credit card information can have an adverse impact on the card payment as a result of cancellation and re-processing of compromised cards.

Definitely, the above procedure is costly. In fact, identity theft is becoming one of the highest information crimes including loss of consumer's data by the institution managing it. Cyber-attack is another common issue that organisations are struggling to control for the confidentiality of the customers' information (Pereira & Santos, 2014). Some attacks like phishing are conducted with the aim of stealing personal data. With the technological advancement, most companies prefer storing some of their information in the cloud. Estimates show that private cloud adoption and cloud computing has increased to about 77% among organizations (So, 2011).

Regardless of whether the thief intending to attack the organisation is an insider or an outsider, the fact remains that the secrets and important information are at risk. Of course, this includes the customer's valuable data. Businesses are also experiencing the problem of system breakdown that leads to the loss of client's information (Pereira & Santos, 2014). Although the rates of these security issues are currently on rise, the corporations need to take accurate measures to ensure that its Information Technology infrastructure is secure in a way that it can protect the customers' data.

Response to the Student

The student wished to know how an organization can notify its users that all communications are being monitored and preserved. One better way of informing the users about the privacy policy is through email. Another way is by sending text messages and making calls to the customers by using official company's contacts. The organisation can also send notifications through it authorised website. Users can easily find the updates by visiting the website. In the same context, the firm can create a blog post or place pop ups on its site with the notification on security details. In this case, the users are likely to know that the organisation has updated the policy before they access the site. For efficiency, the blog-post or the pop-ups should have a direct link that refers a person to the announcement.

Another method is open letters and memos. A company can write open letter and memos notifying the users that all communications are being monitored and preserved. The open letter and the memos can be posted on firm's website and the social media to rich many users. In-app notification is also useful. A lot of consumers would love to find notifications when they log onto the platform. Focusing on this application could be of great importance. Also, social media sites such as Facebook, Twitter, Instagram and whatsapp can provide excellent platforms for notification. The student also wanted to know how the end users will typically respond to the announcement. There is a high chance that the end users will be happy to receive the message because they will be certain that their information is secure.
