Organizations require stable evaluation while interacting with the external environment. It is proper for serious orientation with formal planning when an organization wants to change its system and even adapt to the external environment (Voiculet et al., 2010). The organization as a whole involved those participants as well as the interest groups attached to it. For instance, the owners, the management team, and the clients usually cooperate for mutual relationships and benefits. In every organization, there is that group affected directly, and those that feel the same indirectly. The concept to handle everyone attached to the organization is knowing how to control the ways of interactions.
When an organization wants to modify its policies, it is advisable to withhold the threats as well as opportunities of the external environment. It includes what happens currently as well as in the future regarding innate potential. Weaknesses together with forces of an organization should also put in place with a competitive idea to make the organization excel in the external environment. Various factors exist within the external environment that every organization should not take for granted. The first one is the political, legislative factors that give the general framework of the environment for the organization getting in touch to precisely do the necessary.
When an organization links with the external environment with all regulations at hand, the legality of the interactions becomes stable, and success is always unlimited. The economic factor is as well among the principal element, which has affected many organizations in an external environment. It directly affects the organization, and therefore knowledge over the same is much essential before further arrangements made. The other factor an organization should countercheck is the technological factor. It is very productive to apply the current technology in every environment the organization lands; therefore, it is recommended to prioritize the environmental analysis.
Additionally, the macro environment and microenvironment are crucial in the analysis of an organization’s external environment. It all links the interest that members of the organization have concerning what trends as well as factors within the society (Voiculet et al., 2010). The environment, therefore, comprises of an organization together with competitive type forces in place. New organizations that enter into the environment also have their penetration power limited to those who are already in the market. Interaction of an organization is critical and should be looked at with keen interest to enable the organization to excel as well as secure the forces and policies within the environment.
Freeman-Brown Effectiveness at the Time of Closure as an Open or Complex Adaptive System
There is an exchange of information and resources between organizations that exist as an open system with the external environment. They also find it possible to control this interaction by creating boundaries that allow for the vital exchange processes—the same act as a protection measure to avoid the disparities that can be caused by the external environment. There is an open system between the FBPS and their external environment while closing the two institutions. These are Humptom and Culpeper schools. However, the open system portrayed by the organization was not sufficient and was very poor.
The closure of the two institutions named above was abrupt, and families of these students were never informed prior. The holiday was brief, and before the students could resume the following day, parents’ meeting was organized, and there was nothing suitable for discussion but the closure of the schools. The same left parents stranded and did not know the next step to take with their children since schools have already hired students for the next academic year. The surrounding communities were as well affected since they were unaware of the closure of the schools.
Following the leaked email, the school denied the intended closure to protect the administration from the annoyed parents. The same portrays that the school did not have a protected mode of exchanging healthy information with the external environment. The porous boundary between the school administration and the surrounding or other the parents does not exist in FBPS, so appropriate communication did not occur. Nevertheless, the boundary’s nonexistence could not make the school well informed of the external environment. The same is evident when the school could not admit enough students for efficient learning to proceed.
The complex adaptive system also exists between organizations with the external environment, just the way FBPS portrayed during the closure of the institutions. It is a situation whereby adapting to environmental change becomes a nightmare. Several changes happened in the FBPS system before the closing of the various institution. There was a problem of financial stability within the external environment due to the claimed information that arose during the parent’s meeting. There was as well competition from other public schools that were operated independently. These could not make the FBPS competent enough to adapt to the changing situation but to close the school.
The organization lost quite several students to other public institutions around since they could not adapt to the current changes that were taking place in their school. FBPS could not plan well with what they must sustain the school; the harsh economic crisis hit them hard that they were unable to invest in the school marketable. A well-structured organization should plan well with the little it has to adapt to the situation and not to wrap down the institution. It was a phenomenon affecting the whole country, and other institutions bared the crisis and stood firm; therefore, the adaptive system of these schools closed was not valid.
Organization Culture and Climate at the Closure of Two Campuses
Culture and climate are two phenomena in the organization that can make people narrate what they undergo in a work environment. The climate of an organization entails the shared views, procedures, and policies attached to the worker’s experience. It also involves the practice and the employee’s behavior that can result in rewards and even supported for the best output in an organization. Concerning the organizational culture, values together with believe do exist in the work environment. Workers are taught all these to facilitate their thinking and stories that people say over the organization.
Before FBPS closes the schools, they had a very favorable climate. The administration, faculty, and parents with children were firmly at shock since it was their first time hearing about the university closure. It happens in a parent’s meeting; no email was sent to parents concerning the closure or even phone calls. All these imply that the institution lacks a compelling way of communication more so the internal discussion before referring things to the stakeholders. The school had employees as well; they were not informed all these prior; however, their welfare was mishandled and dismissed from the job. A scenario where a worker loses a job without psychological preparedness is a disaster in an organizational structure and employee right.
Similarly, the school did not follow the right procedure in sending workers away, a situation which is against the requirements of relevant bodies supporting workers. The communication culture in FBPS was impoverished; that decision was made abruptly without prior notice. Poor culture in an organization discourages cooperation, which can hinder the success of the same. Moreover, the organization’s climate was not up to date; therefore, different organizations are encouraged not to adopt the same.
Evaluation of the decision made by Murphy and Caudill
The case study reveals that there was an economic crisis that affected the whole nation. It leads to pressure in all organizations on financial issues leading to the closure of a number of the institution as FBPS being among them. Nevertheless, it was not appropriate for schools to get closed since all along there were hard times. During all those times, schools were expanded with the utilization of the money they had during this economic crisis. The progress installed hopes among the stakeholders, but later, when the system’s closure happened abruptly, it came with the same disappointments.
As the case study narrates, the time when the closure of the school was taking place, the recovery of the economy in the country was getting stable. The reason we get in the case study could have been resolved by other means, such as better improvements within the administration and a good management plan as well as marketing. All these would make FBPS competitive among different organizations in the country. Ever since the school started, it has done well in matters concerning management with quality education; therefore, the little challenge could not result in complete closure of the institutions. Closing the school was, therefore, never the right decision at that particular moment. Similarly, the procedure followed in the closure of the school was only to benefit the management, forgetting the future of the innocent students.
FBPS Demonstrating Social Responsibility
There was a failure on how FBPS demonstrated social responsibility. The institution had worked with families that depend on them. Dismissing these employees subjected their families to an economic crisis since raising a living became stressful. In every school there are business people attached to it, in FBPS, the suppliers of different goods like learning materials were crippled due to closure of the school. The promise which the school offered to its customers could not be achieved, and even the parents were left in a social crisis since the fees that were paid could not be refunded. The picture to the surrounding of the school that it failed in social responsibility is irresponsible and distress to the community.
Handling the Closure with Human-Related Theory
According to Tirintetaake, (2017),) human relation theory demonstrate that employees should be treated as a human being and not as a machine. These workers at FBPS were not handled well at the closure of the school. They were rendered jobless without any allowances and even prior notice to look for employment in other institutions. The practice implies that the decision-makers for the institutions did not care about the lives of these workers as fellow human beings. Previously the institution had a quality education just because of the skills of teaches and dismissing them did not portray fair treatment.
Suggestion on Short Term Ad Long Term Goals of FBPS Future Direction
When FBPS can rebuild the trust of the surrounding community, it will emerge as a short term goal since the abrupt closure has negatively impacted many people. Similarly, the FBPS can invest on the long term goal by building the whole school just the way it was before. Remember, the management of the school was very admirably, and education performance was stunning, and parents were happy with it. Attaining the same is not easy, and their director must engage different consultants and do a lot to restore the school’s legacy.
