Introduction
In every business premise it is always good to have a positive reputation and an outstanding relationship with customers, this can be achieved by ensuring that the products and services offered to meet the standards and expectations of customers. I'm a regular customer of Quality supermarkets in my hometown, one evening I visited the premise to buy my favorite genoise cake, after paying for it, they packed it for me, and I didn't think of checking it since this the supermarket have been shopping, and they have not disappointed me. To my surprise, when I opened it at home, it was expired, and it disappointed me as a customer.
Without hesitation, I went back to Quality supermarket to register my disappointments and get the refund of my money. Upon my arrival, I gave back to the attendant who gave me the genoise cake, and he confirmed that the cake was indeed expired and apologized for the expired good delivered. I was very inquisitive as to why they had the expired product within their shelves as they could hurt other customers and could lead to a negative effect on human health if ingested.
After a thorough investigation by the experts, they realized that the printing machine used in printing the manufacturing and expiry date tags for cake had a technical error, such that number zero appeared like six. There were other customers had encountered the same problem within the supermarket, and it affected genoise cake only, it was therefore prudent for the supermarket to reach out to their customers and let them know of the technical problem so that the clients could not lose their trust on the premise.
Before launching the campaign, they had to establish who are the regular customers who consume the affected brand of cake. University students were the regular customers, and a way to reach them had to be devised. After deliberating on it, poster was the effective means since, within the institution, each department had its notice board, and most of the communication within the institution is conveyed through printed posters hence it was a prudent idea for the supermarket to liaise with the intuition to allow them to convey their information through a letter pinned in notice board.
They are apologetic for the presence of expired genoise cake in their shelves; they noted of the existence of expired product when I reported the case. After researching how it happened, they established that the machine which used in printing expiry date malfunctioned and printed number zero to resemble six.
Am delighted to let you know that the problem has been fixed and have promised that it will never happen again, but since the damage has occurred, it is the responsibility of the supermarket to provide another genoise cake freely to all of the clients who bought the said product between 20th January 2019 and 26th January 2019 since these are the affected dates.
We all know that our machines are human-made and they develop technical problems once in a while and I humbly request you not to take a hard stand on them. The mess has been rectified, and appropriate measures have been taken to ensure that such a mistake does not occur again in the future.
They have ensured that before putting tags in the products, they will counter check printed dates to ascertain that they are clear, visible and correspond with the products date. Hence you should not have any fear of the same mistake happening again in future
It is advisable to all customers to report to the authorities of the supermarket in case they note any defect in the product without any fear, this will go a mile way in improving service delivery.
To sum up, it is worth to note that, we are human beings and errors are inevitable in our life. When an individual makes a mistake, and he apologizes to us and promises to put measures to guard such mistakes happening in future, it is wise of us to understand them and accord them a second chance to salvage their situation.
Communication is a key component in our daily life that enables us to interact with our friends and develop a lasting positive bond. There are various forms of communication which are in existence, and before choosing the mode of communication to adopt, it is prudent to know the person you are communicating with to choose the most appropriate mode of communication.
After noting the defect in the genoise cake that I bought from the supermarket, it was my mandate as a person with noble reasoning to let them know about the defect and also inform my fellow customers of the defect and the resolutions of the supermarket on how to resolve the menace. For communication to be effective, I had to know who are the other clients, what they like and most effective mode to communicate.
The audience in my letter were university students which is a youthful population. I adopted the appeal expert opinion rhetorical choice. After registering my concern to the supermarket, they carried out an analysis of the defect with the help of experts, and they came up with the solution to curb the problem. The solution to the menace from experts and supermarket personnel convinced me, and they were able to regain my trust, that enabled me to convince other affected customers. They regained my trust since they involved people who had vast knowledge in coming up the solution as indicated in paragraph 3 of the letter.
Formal language was paramount in conveying the information. This is because it was a problem which had already occurred and I was in the process of regaining trust, hence its prudent to use a language which is polite, submissive and formal for the audience to welcome your apology.
In order to ensure that the audience regain trust on the supermarket, I had to offer a suggestion the management of the supermarket to provide another cake freely to the customers who bought the cake within the affected cakes as I have indicated in the letter paragraph 6. This would go hand in hand in reclaiming their good reputation which had before the occurrence of the menace.
I believe that the audience will be able to accord the supermarket trust. This is because all the information about the cause of the problem has is available, and a remedy to it devised, the firm admitted to having a problem within the firm and took all responsibilities to settle it, this is a positive sign to send to the audience, and it shows how responsible the firm is. The language used in the convincing audience was auspicious, this will have a positive impact on the audience hence positive view of the supermarket.
Conclusion
In conclusion, it is always good to take full responsibility when an error occurs in your firm, the language to be used in seeking to regain trust from your audience should always be positive and appropriate to the audience.
