Introduction
In the field of technology and data management. The knowledge base management system is essential in knowing concepts related to this analog of the data management system. This paper discusses challenges to the organizational management in Knowledge Base Management (KBMS) Knowledge Base Management is a complex task in the current society of daily production of raw data. It is a concept that involves organizations making their information reasonable and intellectual after organizing it into manageable portions. The Knowledge Base Management Systems (KBMS) is needed in the formulation of the objectives in the company (Zhang, Yuan, Lian, Xie, and Ma, 2016). It provides accurate intelligence and the progress of an organization and its decisions. KBMS is useful in the assessment of an organization's ability to achieve its vision. It is the determinant of the current status in the market, the creation of viable products, improved services, and the quality of productivity. It gives the organization an ability to gauge itself and know the best ways of beating competitions (Horta & Yudkevich, 2016). The analysis is similar to the effort of several human beings who have brainstormed some ideas on how best the organization could function. The current advancement in technology has enabled the smooth operation of KBMS in industries. There are however several challenges to this data management
Challenges
The biggest problem is the availability of accurate data. The process of the system requires that firsthand information is feed into the system. The first-hand information is essential in the second phase, where the data is analyzed for any useful information. The source of this knowledge has to be reliable to enable the people involved to make the right decisions. The problem is experienced in the particular enterprise if the information provided is wrong or inaccurate. There are occasions when the organization has a constant flow of data. Such occurrence affects the performance of an organization as the data is required. Another challenge is the cost of the usage of this system. The amount of data needed to be processed is a lot. The organization needs that the entire dockets of the company have every little information required to make its objectives successful, hence high costs. The data is, at times, considerable, but with a lot of data that ends up irrelevant and not useful to the organization. This makes the organization lose money in the processing of non- beneficial data. This has made this system less favorite because of the challenge. Some organizations have adopted a culture of information and data management. The leaders of these organizations find it challenging to change the standard practice for a new one, such as KBMS. They are often scared of the costs related to the implementation of the system and the training of the employees on its use. The transfer of information from the source to the appropriate audience in any organizational set up is significant. The purpose of the knowledge base management system is affected by the absence of a means of transferring the information (Wiesner, Marilungo, and Thoben,2017). The information which is already processed and ready for consumption becomes useless because of the lack of an appropriate method of transfer. There can be a potential leakage of information regarded as confidential within the organization.
Solutions
Despite the challenges in the use of the systems, there can be solutions. There are many procedures that organizations must carry out to deal with knowledge-based management systems. The first step the organizations should do is to ensure that all the data collected is correct and accurate. This will help in ensuring that the information acquired is accurate by processing the data, hence the right decisions are achieved, and conclusions are made from the latter. Another way in which the organization can deal with the challenges is making the systems process only the required data. This will save the organization's time and money since there is no processing of unnecessary data. This involves the modification of the system and making it easier to operate. The employees should be trained on how to handle the system. The process of creation of the most suitable method of information transfer is by involving people. The organization can find a way of making employees and other stakeholders to share experiences and knowledge. The culture of sharing knowledge will grow into a useful channel of disseminating information. (Piciocchi, Bassano, Pietronudo, and Spohrer, 2019) The organization can identify the most critical stakeholders of certain information in some functional areas. The stakeholders are made the holders of some data and are the leading suppliers and facilitators of the knowledge. The Knowledgebase management system should then be modified based on the feedback given by the facilitators of the experience. The final part of the creation of the best channel of sharing knowledge is the training of the facilitators to enable them to become experts in information sharing. This makes the organization embrace the culture quickly. The managers and the leaders of various organizations need to be trained on the importance of the management system. They should be enlightened on the need for them to embrace the change and focus on the positives of this system. Such training will help change the mentality of the managers and the leaders on the system and transform them into investing in training workers on the use of KBMS. The leadership training can involve the auditing of the organization's present capability to manage knowledge (Wang etal, 2016). The procedure will include the checking of the sources and the contributing agents in the organization. After the analysis, a comparison should be made between the company not using the systems and its partner using the methods for knowledge management. Evidence will reveal the best organization in terms of knowledge management. To avoid incidences were confidential information leaks out to the unintended people, the organization should outline a procedure that guides the sharing of the information within the organization. When there is a proper guide, there is a smooth sharing of relevant information within the organization hence the usefulness of the data.
Conclusion
In conclusion, the challenges that hinder organizations' management with the KBMS system have solutions. The system is useful around the globe and is giving several enterprises a competitive advantage in the market. There are several things that management is required to do to ensure its effectiveness. It involves the change of attitude and restructuring of the system to ensure confidentiality and, lastly, the creation of a proper channel of communicating the information.
