Introduction

Communication refers to the act of sharing the information from one unit to another by use of semiotic rules and signs. The use of electronic mails is one of the most popular modes of communication in many workplaces. Electronic Mail refers to a system of exchanging messages through electronic gadgets. It is associated with some issues which lower the workability in an organization.

The main issue is the information overload. The ubiquity of email message for information workers has led to apprehensions that the receivers face the issue of information overload mostly in dealing with vast loads of emails. Due to increased availability of mobile gadgets, employees may receive occupational emails even when outside their work environments. This may lead to piling of emails and may even lead to the growth of stress, and even one may feel discontented with the work.

The first solution to this issue is that one should consider sending less and get less. If one sends few emails, automatically there will be a reduction the size of the emails to get in return. Also, one may escape the endless reply loop. Though response silence is considered rude, one should complete a message with "need no reply" to avoid the information overload. Also, one should check his or her time and even the date stamp. For this, always consider your computer and also the company's electronic mail server is properly set, that is, the date and the time is correctly set so that one is sure when the message was sent. Also, one should be very careful about the attachments, and therefore if one wants to send a huge attachment, it is wise to compress it with a file compression program since sending very large attachments can turn a person into an electronic mail outcast very fast and lead to information overloading.

Conclusively, the old rules should apply despite that e-mail is part and parcel of the new technology which has greatly influenced the mode of communication. Therefore, people should be very cautious when using this mode of communication and try to avoid overloading of information.
