Part One
The email is a report of the workplace violence conference that I attended on 3rd November. I was the only representative of our company which I was greatly and would wish to share with you what I learnt. The conference focused on the measures that should be taken to ensure that workplace violence is eliminated. Although our company has not experienced any case of such violence, I learned many strategies that should be put in place to ensure the problem is not experienced at our company.
The presenter in the conference was Kit Adkins and she offered three suggestions on what should be done to avoid workplace violence. The recommendations are explained below.
One, she recommended that the HR departments should screen the job applicants thoroughly to ensure that they hire the employees who can enhance cooperation and peace in the organisation. She also suggested that background checks should be done on the applicant to ensure that their social and career history are noticed. Such information is vital to determine whether the individual will be hired or not. Additionally, she argued that informing the applicants that background checks will be done would make some of them withdraw their candidature especially if they have a past that may have a negative impact.
Secondly, she suggested that companies should issue employee handbook to all the members of staff in the organisation. The handbook should explain in detail what need to be done in case the employees notice that there is an issue which has the potential of causing workplace violence. Furthermore, the handbook should explain the methods that the employees should use to ensure that their identity is not disclosed when reporting such cases.
Thirdly, Ms Atkins recommended that managers should be trained so that they can have the skills and knowledge to notice the signs of potential workplace violence. They need to be aware of the red-flag behavior that indicates all is not well in the organisation. She stated that the managers should be able to note issues such as increased arguments in the company especially the petty ones. Also, harassment and bullying in the company, changes in the behavior of the employees, and depression among the workers show that there is a likelihood of workplace violence occurring. Finally, carrying of firearm or statement of the intentions of carrying one should be an alarm that the workplace violence may occur in the firm.
Part Two
Need to Reduce Overnight or Second Day Mail Shipments
This email is to request you to reduce the overnight and second-day mail shipment since they have led to increased expenses in the company. Our branch has consistently experienced a 300% increase on the shipping costs and it is important to cut these expenses with immediate effect. The company has been paying excessive bills to Federal Express and other shipping firms and this has been linked with our branch continuous use of the costly shipping options.
You are required to utilize the use of emails and faxes rather than using expensive shipping options. You are encouraged to send zipped files using emails. It is not only easy to send files using emails but it also cost-effective. On the other hand, faxes are fast and also cheap since an overnight mail sent through fax costs 35 cents while to send the same mail through FedEx would cost between $15 and $20. Additionally, departments are required to plan to avoid urgent mail delivery. Shipping companies such as UPS and FedEx should be used in mails that need to be delivered in a period above 3 days. Also, employees are encouraged to research on the recipient's FedEx number so that he or she can pay for the mail delivery.
Therefore, the company CEO has directed all employees and managers to work jointly to ensure that the shipping costs are reduced by 50% within the next 2 months. Failure to this, strict restrictions will be introduced to ensure that the company saves money and increase the chances of profitability. However, we hope that you follow these directives to help in the accomplishment of the company's objectives.
