Communication in its various forms including letters, memos, and reports are essential for the seamless operations of any corporate entity. In engineering, for example, there is a need for people at equal or lower levels to pass information to one another, but various considerations must be made in designing the content of the communication. The communication must be sensitive to the principle of Context, Message, Audience, Purpose, and Product (CMAPP) for it to be effective. The results of any communication process are to pass a message from the sender to the recipient and possibly generate feedback in the form of an action or another message. In light of the fundamental importance of communication as a means of passing information from one source to another, it is crucial always to ensure that the correspondence is persuasive.
For communication to be convincing and persuasive, they need to meet some minimum characteristics. For instance, they must be targeted to a specific audience, be comprehensive, contain updated content and be well structured. Apart from the focus on the audience and intended information that is meant to reach the target audience, other considerations such as ethics must be integrated into the continuum of communication to avoid backlashes. Ideally, a communication intends to make the recipient develop a particular r perception of an issue or take a stance based on the presented information. Therefore, the correspondence must be designed in such a way that it triggers the intended perception. To achieve this in a case where the audience is highly technical experts, the sender must appeal to their intellect. This means that at any one time, the communication must be replete with logic and facts as opposed to sheer assertions and dramatic graphics that lack a sense of logical appeals.
The sender of the message must always ensure that the information is not only clear and precise but also provides detailed content that leaves the audience with no unanswered questions. For instance, a designer in mechanical engineering must clearly illustrate to the products manager that a new design of vehicle provides an advantage over the other. In this case, merely alluding to the aesthetics of the motor vehicle will not be convincing enough to make the product manager approve the design since the appearance of the car may not necessarily be the primary consideration or buyers. A communication that adheres to logical argumentation and proceeds from a mere claim to proof of such an assertion has a higher chance to persuade the audience than one that is superficial. There must be a logical link between statements, premises and the conclusions made in any given context of communication. The sender of information must be sensitive to the fact that the recipient may at least have some grip of the information being passed hence the information should be based on deductive reasoning as opposed to an assumption that the audience is ignorant of the specific issue in context.
Conclusion
The source of information must avoid interferences such as logical fallacies, assumptions, false dichotomy, and absurd generalizations to develop a convincing and persuasive communication,. Avoiding such interferences to intellectually-based communication entrenches the sender's sense of professionalism as well as gives him the reputation of an expert communicator. The premises and arguments presented should not only appear to be sound but must the facts should be rational. In this regard, the details provided in the communication must not be misleading of misrepresentation of the actual issues in context.
