Introduction

In the modern world that has full reliance on technology, information systems, therefore, become key assets for any business and hence they should be kept in a secure manner to avoid destruction, loss, or theft. A system backup of information or data entails the process by which data files are archived via producing copies of folder and files and securing them in another location so that when a disaster occurs, there can be a swift recovery of data and businesses continue to run as usual (Peltier, 2013). Information lost can occur due to various reasons such as hacking, accident, floods and through an accident. Nevertheless, having a good data backup and disaster recovery plan is key to ensure there is continuous running of a business even after data loss.

Data Backup Planning

Data backup planning entails coming up with various approaches when it comes to securing data. It also involves developing strategies that ensure there is no time wastage during data recovery. According to Cervone (2017), it is key to identify various threats to information prior to enacting a data backup and recovery plan that will ensure business continues to run as normal. When data gets compromised, business would be significantly interrupted and hence its key to have good business continuity planning.

One of the elements that an effective data backup planning has is an offsite backup that is encrypted and completely secure (Cervone, 2017). As much as an onsite data backup is important, when an accident happens and destroys all the data in it, the organization will be in trouble hence it's vital to have both office and onsite backup to promote more efficiency (Sadgrove, 2016). Another element is data backup planning is that it should be more often to avoid any loss of data. An effective data backup is one that is able to sure the original information at all times creating more assurance. To ensure that there is a constant backup, the process should be automatic as opposed to having an individual do it manually. Nevertheless, the backup should be secure at any given time, for instance, an organization can use cloud computing that offers one of the best automatic backup all is need is good internet connection (Hamdi & Junidar, 2018).

Data Recovery Planning

Disaster recovery planning involves having a documented and a well-structured strategy that has specific guidelines towards responding to unintended incidents or events relating to data loss in an organization (Sahebjamnia, Torabi & Mansouri, 2015). Additionally, a data recovery entails the process of repossessing the folders and files that had been backup up after an event of data loss (Hamdi & Junidar, 2018). Even if data was saved through a backup plan, it is important to have a data recovery plan as it will ensure things returns to normal in the shortest time possible. Some of the elements of such a plan is having proper backup tests, equipment register, and good communication.

An efficient disaster recovery planning should clearly state the impact that disaster could have on an organization's system meaning that it should have proper documentation. A good documentation ensures that an organization is able to deal with an emergency more quickly and easily (Peltier, 2013). The documentation should be clear and easy to follow showing all steps needed for quick recovery. After threats are analyzed, a good disaster recovery plan should be built based on those recognized threats (Cervone, 2017). Additionally, having effective communication channels is crucial to the success of a disaster recovery plan (Sadgrove, 2016).

Business Continuity Planning

Data loss can happen to even the best companies in the world but the difference is how they respond. Business continuity planning ensures that an organization has all the required data to continue operating after a disaster or an attack happens.An effective business continuity planning is one that can clearly show all the activities and strategies that a business should take to ensure it does not perish (Sahebjamnia, Torabi & Mansouri, 2015). This can be done by constantly checking and updating backup strategies to locate a weak point within their system (Sahebjamnia, Torabi & Mansouri, 2015). By doing this the organization will always be ready for an unprecedented event. Another good element is involving the workers and making them understand the importance of having a business continuity plan. The employees can in turn help identify more loopholes within the information system. Additionally, a good business continuity planning is one that incorporates the ideas of data recovery planning since it will help the business to revive more rapidly (Snedaker, 2013).

Data is an important asset for any organization and hence it should be secured at all times. However, data can be lost through various unfortunate ways but it is the role of an organization to make sure they come up with a good data backup plan, business continuity plan, and disaster recovery plan. Important files and folders should regularly be backed-up and when doing a disaster recovery plan, it is key to decide which data is more important depending on the information system. Business continuity planning is vital in that it ensures business continues to run as usual all recovers rapidly.
