Introduction

The visual aids commonly used in the presentation of reports and the articulation of the proposals in the research and the business sectors. The use of the visual aids helps in making the presentations more useful and appealing to the audience. The choice of the visual aid to be used depends on the type of audience to be addressed and the subject matter in the report. Some of the visual aids that are available for use include PowerPoint slides, props, whiteboard drawings, overhead transparencies, and handouts (Boutron & Ravaud, 2018). The purpose of these aids is significant in that they give the speaker a chance and opportunity to control their speech in a nonverbal perspective. The utilization of the visual aids helps in the accomplishing of specific goals and objectives. First, these gadgets make the address by the speaker more appealing and comprehensible to the audience. The aids also help in the enhancement of the speaker's credibility (Canavor, 2018). They also serve as the guidelines to the process of transition and thus contribute to keeping the audience on track. The practice helps in communicating across complex information conveniently. The visual aids help in the reinforcing the messages that are verbal. Finally, these activities help in the retention of the data by the audience.

A person can undertake to use the memos in the articulation of short informal reports because the information required in this case is for a person or just a small group of persons. Based on the fact that the message is always brief and very specific, it can then be through the memos or the email format. Since these memos are short, they are often easy to locate, and this notion then makes it convenient for the business executives to find the notices in cases of references (Bloch, 2018). The skills obtained from the process of writing these reports play an essential role in the development of the powers of design, organization, coordinating, judging, and the eventual communicating in the broader range information dissemination. The memos can be used to deliver sophisticated and advanced information that may seem to be a hindrance to the development of the firm both internally or externally.

The Informative formal reports are meant to give the data the facts, data, and the results in an abstract form. These reports do not attempt to provide any further analysis or recommendations on the findings on the subject. They are for decision-making processes and the delivery of policy reports (Canavor, 2018). The analytical reports are in most investigative reports. These proposals give both the information and the analysis of the results collected from the research. The analytical reports or the recommendations stories go ahead to provide the suggestions, and this create the main difference between these reports and those of the informational reports.

The presentation of speech using visual aids needs some form of persuasion to create a more convincing appeal to the audience. This activity can be through the use of pictures that would help in the multiplication of the understanding level of the audience. These visual aids must be presented in a way that they would reinforce the message, create some excitement, and also clarify the points given verbally (Boutron & Ravaud, 2018). During the presentation, there is the need for the speaker to involve the audience in the entire process by asking some questions that would keep the audience glued to the subject under discussion. Such issues should be presented visually to help the audience in the movement from the hearing aspect to the practical perspective of seeing.
